keel uses artificial intelligence to help property managers work more efficiently. We believe in being transparent about what AI does, what it doesn’t do, and how your data is handled. This page explains everything.
1. What AI Does in keel
keel’s AI features are designed to assist, not replace, your judgement. AI is used for:
Maintenance triage
When a maintenance request is submitted, AI analyses the description and suggests troubleshooting steps, assesses urgency, and recommends which workflow lane (triage, troubleshoot, dispatch, tracking) the request should enter. It only suggests safe, non-technical steps that a tenant could perform themselves.
Message drafting
AI drafts messages to tenants (status updates, arrears notices) and tradies (job descriptions). These drafts are presented to you for review — they are never sent automatically.
Compliance information
The AI assistant can answer general questions about NZ property compliance, Healthy Homes Standards, the Building Warrant of Fitness system, and the Residential Tenancies Act. It references relevant legislation where possible.
Chat assistant
A general-purpose assistant that can help with property management questions, best practices, and navigating the keel platform.
Listing generation
For vacant properties, AI can draft rental listings suitable for platforms like Trade Me, including title, description, and key features.
2. What AI Does NOT Do
It’s important to understand the limits of AI in keel:
- AI does not provide legal advice. Compliance information is general guidance only. For specific legal questions, consult a lawyer or contact Tenancy Services NZ.
- AI does not provide financial advice. Rent calculations, arrears figures, and financial summaries are based on the data you enter. Consult an accountant for tax and financial planning.
- AI does not guarantee compliance. While keel tracks compliance items and deadlines, the AI cannot verify that your property physically meets standards. Professional inspections are still required.
- AI does not make decisions for you. Every AI suggestion, draft, or recommendation is presented for your review. You decide what action to take.
- AI does not replace professional services. For electrical, plumbing, structural, or other specialist work, always engage qualified professionals.
- AI does not contact anyone on your behalf. No message, notice, or communication is sent without your explicit approval.
- AI does not screen or select tenants. While keel helps organise tenant applications, the AI never makes acceptance or rejection decisions. All tenant selection decisions are made by you, and must comply with the Human Rights Act 1993.
- AI does not auto-dispatch emergency services or tradies. In an emergency situation, the AI may recommend contacting emergency services, but it will never automatically dispatch anyone on your behalf.
3. How Your Data is Handled
When you use AI features in keel:
- What is sent: Only the minimum context needed for the AI request. For maintenance triage, this includes the category and description. For message drafting, it includes the issue title, status, and property address. For chat, it includes your conversation history for that session.
- Where it goes: Data is sent to OpenAI’s API via encrypted HTTPS connection.
- Retention by OpenAI: We use OpenAI’s API endpoints that do not retain your data and do not use your data for model training. Data is processed in real-time and not stored by OpenAI.
- Our logging: We log token usage and timestamps for cost management. AI conversation content is stored in your keel account (the AI chat history) but is not shared externally.
4. Human-in-the-Loop
keel is designed with a strict “human-in-the-loop” principle. This means:
- AI-drafted arrears notices are shown to you for approval before being sent
- AI maintenance triage recommendations are suggestions — you choose the action
- AI-generated listings are drafts for you to review and edit
- The AI chat assistant provides information — you decide how to act on it
At no point does AI in keel take autonomous action. You are always the decision-maker.
5. Accuracy & Limitations
AI systems, including those used by keel, have inherent limitations:
- AI can be wrong. Large language models can generate incorrect, incomplete, or outdated information. Always verify important details independently.
- AI may not know recent changes. If legislation or regulations have changed recently, the AI may not reflect those changes immediately.
- AI responses vary. The same question may receive slightly different answers at different times. This is normal behaviour for generative AI.
- AI has no memory between conversations. Each new conversation starts fresh (within the same chat session, context is maintained).
6. Liability
We are not liable for any decisions you make based on AI-generated content. AI features are provided as tools to assist your work — they do not substitute for your own judgement, professional advice, or compliance with applicable laws.

7. Opting Out
AI features in keel are optional. You can use keel without engaging any AI features — simply don’t click the “AI assist” buttons or use the AI chat. All core property management functionality works without AI.
